Receptionist & Facilities Coordinator

Location: Autorama Head Office, Hemel Hempstead

Line Manager: Dan Eddie, Customer Experience Director


Job Responsibilities {split into two parts} & skills:

Receptionist Job Duties:

-       Be the positive Autorama first impression or experience that greets fellow employees or customers alike. You are a brand ambassador!

-       Welcomes visitors by greeting them, in person or on the telephone in an upbeat and positive way; answering or referring inquiries

-       Directs visitors by maintaining employee and department directories; giving accurate information and instructions.

-       Maintains security by following procedures; monitoring logbook; issuing visitor badges.

-       Maintains safe and clean reception area by complying with procedures, rules, and regulations.

-       Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

-       Contributes to team effort by accomplishing related results as needed.

-       Work with Exec PA's to complete any necessary tasks or work


Facilities Coordinator Responsibilities:

-       Help to maintain all Company buildings and facilities in good working order

-       To liaise with outside agencies and regulators on behalf of the business

-       Advise on and control the Company facilities to ensure suitability of use, to support project and programme requirements

-       Enable and carry out minor repair and maintenance activities

-       Source, manage and control facilities contractors as required

-       Advise Line Manager on procurement of new tooling, equipment and facilities to suit business needs

-       Ownership of the employee and visitor security clearance processes

-       To measure and report on appropriate Security and Facilities aspects to Senior Management

-       Deliver Security briefings and employee inductions


Receptionist & Facilities Coordinator Skills and Qualifications:

-       Highly personable, professional and approachable

-       Very strong telephone skills

-       Excellent verbal and written communication,

-       Excellent planning & organisational skills

-       Good listener and note taker

-       Strong evidence of record and file keeping

-       Good at completing and finishing tasks to a high standard

-       Very strong customer focus behaviours and ethos

-       Capable of working with and informing others

-       Ability to calmly handle pressure and stressful situations,

-       Strong supply management skills

-       Computer literate
